Applicant Privacy Notice

How AI-Ghar collects, uses, and protects personal data provided during the job application and recruitment process.

1. Who This Notice Applies To

  • This notice applies to all job applicants, candidates, and prospective employees who submit applications to AI-Ghar Technologies Pvt. Ltd.
  • This includes applications submitted via our Careers page, email, LinkedIn, referrals, or recruitment agencies.
  • This notice is separate from our general Privacy Policy, which governs data collected from platform users.

2. What We Collect

  • Contact details: name, email address, phone number, location.
  • Professional information: CV/resume, work history, educational qualifications, skills, certifications.
  • Application materials: cover letters, portfolios, work samples, references.
  • Interview notes and assessment results during the selection process.
  • Background check data (only for final candidates and with your explicit consent).
  • Immigration and work authorisation status where legally required.

3. How We Use Applicant Data

  • Evaluating your application and assessing suitability for the role.
  • Communicating with you about your application status and interview scheduling.
  • Conducting skills assessments, technical tests, and reference checks.
  • Complying with legal obligations related to employment and equal opportunity.
  • Maintaining records for audit, legal, or regulatory requirements.
  • With your consent: considering you for future roles that match your profile.

4. Who We Share It With

  • Hiring team members and relevant team leads at AI-Ghar on a need-to-know basis.
  • Third-party assessment platforms (e.g., HackerRank, Notion) under data processing agreements.
  • Background check providers — only for final candidates with explicit consent.
  • We do not share applicant data with third-party recruiters without your consent.

5. Retention

  • Successful applicants: data is transferred to your employee record and retained per our HR policy.
  • Unsuccessful applicants: data is retained for 12 months to consider you for future openings, then deleted.
  • You may request earlier deletion by emailing support@ai-ghar.com.

6. Your Rights

  • Access: Request a copy of the applicant data we hold about you.
  • Correction: Request that inaccurate data be corrected.
  • Deletion: Request erasure of your application data (subject to legal obligations).
  • Withdrawal: Withdraw from the recruitment process at any time.
